Hi Mark,

Overall I think there should be an introduction, as it focuses the attendees on the issues for the users. I think that format 4 would suffer because of a lack of focus for procedings, even with someone on the door explaining what's going on. 


Format 1

I like the idea of the live demonstrations the best (Format 1), despite the risk of problems.
The audience would be more likely to talk to the speakers afterwards at the individual stands to discuss the issues. It would also mean that anyone who attended just the talks would still get a good idea of the problems that exist.

 

Format 2
I would regard this as the second best alternative, as it focuses the attendees attention on the problems through the use of a video presentation. If it is too difficult to arrange the live demonstrations on stage (it would depend very much on the venue), I would see this as the next best alternative. 

Format 3
Having individual demos every hour would work best if there was a high volume of people attending. If the numbers attending were low, with people arriving at different times, on request demonstrations would work best. However I think that people attending would miss out on a lot of information through this format. 

Format 4
This format would be quite casual and informal, which might suit some people. However it does require that those attending ask relevant questions, and the lack of an introduction (as mentioned above) would be a problem. 

In summary, my opinion is that format 1 would be the ideal (but may not be possible, depending on the venue), and that format 2 would be the next best. It would be useful to combine this with a brief session where the end users introduce themselves to the audience. I think the hourly presentations of format 3 would break up procedings a bit too much, and that format 4 would lack focus.

I've put some thoughts to paper (well attached Word doc actually) about
a possible 'Meet the users' event. Have a read and let me know what you
think. I've a few possible scenarios. I think I know which ones I like
best but I'd like to hear your perspective.

I think it could be real fun to do something like this and very
effective too.
